WhatsApp Business Automation: How It Works, What It Costs and How to Set It Up
WhatsApp Business automation means answering, qualifying, booking and following up with customers on WhatsApp without a person typing every reply. It runs on the WhatsApp Business Platform (the official API), connected to a CRM and usually an AI assistant. The free WhatsApp Business app only offers basic auto-replies, so real automation needs the API.
This is the pillar guide: what you can automate, the rules Meta sets, what it costs to run, and how to choose a setup. For the AI side in depth, read our AI chatbot for WhatsApp Business guide; for a step-by-step GoHighLevel build, see how to set up a WhatsApp bot in GoHighLevel.
What can you automate on WhatsApp Business?
Almost every repetitive conversation: first replies to new enquiries, answers to common questions, lead qualification, appointment booking and reminders, order and delivery updates, quote follow-ups, payment links, review requests and reactivation of past customers. A person stays in the loop for complaints, complex sales and anything the automation isn’t sure about.
- Instant first response: every enquiry gets a useful answer in seconds, day or night.
- Qualification: the assistant asks about service, budget, location and timing, then routes or books.
- Routing: chats are assigned to the right person or branch, and staff response times are tracked in the CRM.
- Follow-up: approved message templates chase unanswered quotes, no-shows and lapsed customers.
Is the free WhatsApp Business app enough, or do you need the API?
The free app suits a sole trader answering messages by hand on one or two phones. Once you need AI replies, CRM records, several team members on one number, or automated follow-up, you need the WhatsApp Business Platform, also called the Cloud API, connected through a CRM or messaging provider.
WhatsApp Business app vs WhatsApp Business Platform (API)
| Factor | WhatsApp Business app | WhatsApp Business Platform (API) |
|---|---|---|
| Cost to start | Free | Per-message fees from Meta, plus the platform you use |
| Automation | Greeting, away message and quick replies | Full workflows, AI replies, booking and follow-up |
| Team access | Limited linked devices | Many agents through a shared inbox |
| CRM connection | None built in | Every chat saved to the contact record |
| Messaging first | Manual messages only | Approved templates, sent automatically |
| Best for | Very small businesses | Any business handling enquiries at volume |
What is the 24-hour customer service window?
When a customer messages you, a 24-hour customer service window opens, and it resets each time they send another message. Inside it you can send any free-form reply, including AI-written answers. Outside it, you can only start the conversation with a pre-approved message template, which Meta reviews and categorises.
Templates come in three categories: marketing (offers, reactivation, newsletters), utility (confirmations, reminders, order and account updates) and authentication (one-time codes). Write utility templates strictly about the transaction; Meta may re-categorise a template that reads like marketing, which changes its cost.
How much does WhatsApp Business automation cost to run?
There are three running costs: Meta’s message fees, the platform or CRM that connects to WhatsApp, and any AI usage. Since July 2025 Meta has charged per delivered template message, with rates set by template category and the recipient’s country. Free-form replies inside the 24-hour window are free, and so are utility templates sent inside it.
Rates differ a lot between countries, so check Meta’s pricing page for the countries your customers are in. Conversations that start from a Click-to-WhatsApp ad or a Facebook Page call-to-action open a 72-hour free entry window. Built in GoHighLevel, the platform cost is a GHL plan ($97, $297 or $497 a month) plus its WhatsApp add-on and AI usage. Our WhatsApp automation service page lists what changes the build scope.

What are the opt-in rules for WhatsApp business messages?
Meta requires a customer’s opt-in before you send them business-initiated messages, and the opt-in must make clear they will receive WhatsApp messages from your business. Local laws add their own consent rules for marketing on top, so collect opt-in in writing on forms and record it in the CRM.
Consent rules to check by market (not legal advice)
| Market | What applies on top of Meta’s policy |
|---|---|
| United States | TCPA rules for marketing messages; keep proof of consent |
| United Kingdom | PECR consent for electronic marketing, and UK GDPR for the data |
| Canada | CASL express or implied consent, sender identification and an unsubscribe option |
| Australia | Spam Act consent, sender identification and a functional unsubscribe |
| UAE | Federal PDPL for personal data and TDRA rules for marketing messages |
Two habits keep a number in good standing: honour opt-outs immediately, and avoid sending marketing templates to people who haven’t heard from you in a long time. Meta tracks quality signals such as blocks and reports, and low quality can limit how many people your number can message.
How do AI replies on WhatsApp work?
An AI assistant reads each incoming message, answers from a knowledge base you control (services, prices, hours, policies), asks qualifying questions and books into your calendar. It works inside the 24-hour window, so it can hold a natural conversation. It should hand over to a person when the customer asks, is upset, or the question falls outside what it knows.
Set clear limits: what the assistant may quote, which questions always go to staff, and the hours when a human picks up. Our AI chatbot service uses the same assistant across your website, Instagram and WhatsApp, so answers stay consistent.
How do you connect WhatsApp to a CRM such as GoHighLevel?
You connect a WhatsApp Business Platform number to the CRM, which then shows WhatsApp chats in the same inbox as SMS, email and social messages. In GoHighLevel, WhatsApp is set up per sub-account; once connected, workflows can send templates, reply inside the window and trigger on incoming messages.
- Use a number that isn’t active on the WhatsApp app, or migrate it from the app to the platform.
- Verify your business in Meta Business Manager to raise messaging limits and display your business name.
- Submit templates for approval before launch, since approval can take time.
- Tag every contact with its source and opt-in status, so campaigns stay compliant.
Long-term follow-up across WhatsApp, SMS and email is covered by our AI follow-up system.
Which businesses benefit most from WhatsApp automation?
Any business whose customers already prefer WhatsApp. That is most of the market in the UAE, and a large share in the UK and Australia; in the US and Canada, SMS is still more common, so WhatsApp works best alongside it, especially for international customers.
Common WhatsApp automations by industry
| Industry | What gets automated |
|---|---|
| Real estate | Property enquiries, viewing bookings and new-listing alerts to opted-in buyers |
| Clinics and med spas | Booking, reminders, pre-care and post-care messages |
| Home services | Quote requests with photos, scheduling and on-the-way updates |
| Professional services | Consultation booking, document reminders and FAQ answers |
| Retail and e-commerce | Product availability, order updates and abandoned-cart reminders |
| Education and training | Course enquiries, enrolment follow-up and class reminders |

How long does it take to set up WhatsApp automation?
The technical connection can be done in a day, but plan for one to three weeks in total. Meta business verification and template approvals take time, and the conversation flows, AI knowledge base and testing are where most of the work goes. Starting with one enquiry flow and adding more later is usually faster than building everything at once.

Frequently Asked Questions
Can I automate WhatsApp with the free WhatsApp Business app?
Only partly. The free app offers a greeting message, an away message and quick replies. AI replies, CRM records, shared team inboxes and automated follow-up need the WhatsApp Business Platform API.
How much does WhatsApp Business API cost?
Meta charges per delivered template message, with rates set by category and the recipient’s country. Free-form replies inside the 24-hour customer service window are free, as are utility templates sent inside it. Your CRM or messaging platform adds its own cost.
What is a WhatsApp message template?
A template is a pre-approved message you can send to a customer outside the 24-hour customer service window. Meta reviews each template and puts it in the marketing, utility or authentication category, which sets its price.
Do customers need to opt in to receive WhatsApp messages?
Yes. Meta requires opt-in before you send business-initiated messages, and local laws such as TCPA, PECR, CASL and the Spam Act add their own consent rules for marketing. Record each opt-in in your CRM.
Can I use my existing WhatsApp number for the API?
Yes, but a number can’t run on the WhatsApp app and the Business Platform at the same time. You migrate it to the platform, after which chats are handled through your CRM or messaging provider.
Can AI answer WhatsApp messages in Arabic?
Yes. Modern AI assistants can reply in Arabic, English and many other languages, and can detect which language the customer is using. Test the replies with native speakers before launch, especially for prices and policies.
